Issue and returns

Issuing stock to students and staff

Every item that leaves the store is issued to a named student, staff member, class or department. Returns are checked in, overdue items are flagged, and damages or losses can be recovered through the student's fee bill or recorded against the staff member.

Purchase requests, approvals and vendors

Departments raise an indent, it moves through your approval chain, quotes are compared, and a purchase order goes to the vendor. When goods arrive, the receipt is checked against the order and stock updates itself. Vendor bills link to the purchase order for payment.

Stock audits that reconcile themselves

Count stock on a phone, and Schoollog matches every count to recorded sales, issues, returns and breakages. Most differences explain themselves; only the real gaps are flagged for review.

Contact Us
What is a school inventory management system used for?

It tracks everything the school buys, stores, sells and lends, from uniforms and books to lab equipment, furniture and IT devices, so stock, money and responsibility always match.

Can parents buy uniforms and books online?

Yes. Parents see the items and book sets for their child's class, choose sizes, and either pay online or add the amount to the fee bill. Orders are packed and ready to collect.

Can store purchases be added to the fee bill?

Yes. Store purchases, damages and lost items can be added to the student's fee account and paid with the next instalment, with one receipt.

How do we track items issued to students and staff?

Every issue is recorded against a named student, staff member, class or department, with a due date. Returns are checked in, and overdue or damaged items are flagged.

Does Schoollog manage purchase orders and vendors?

Yes. Departments raise indents, approvals follow your chain, quotes are compared and purchase orders are sent to vendors. Goods received are checked against the order and stock updates automatically.

Can we track furniture and IT assets?

Yes. Furniture and devices are recorded as assets with a tag, location or assigned person, condition, warranty and repair history, and appear in the asset register.

How does AI help with inventory?

It warns you before stock runs low and drafts purchase orders, predicts next session's book and uniform demand from enrolment, and reconciles stock audits against recorded movements.

Who can see and change stock data?

Access is role based. Store staff record sales and issues, department heads raise and approve indents, accountants see purchases and fee billing, and the principal sees reports. Each user sees only what their role allows, and every change is logged with the user's name.

What inventory reports can we generate?

Stock on hand, fast and slow moving items, daily store sales, items issued and overdue, purchase orders pending, vendor wise spending, asset register and audit variance. Reports can be filtered by campus, category or date range and exported to Excel or PDF.

Can we run a store for more than one campus?

Yes. Each campus keeps its own stock and store, while leadership sees stock, sales and purchases across every campus, and stock can be transferred between campuses.
